*General Purpose*
Administrative Assistant provides support to leaders assisting in daily office needs and managing our company's general administrative activities. Responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices and procedures. ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and promptly. Performs general clerical duties to include but not limited to photocopying, faxing, mail distribution and filing. Coordinates and maintains different records and operates switchboard.
*Responsibilities:*
* Answer and direct incoming calls
* Organize and schedule staff meetings and take accurate minutes of meetings
* Maintain contact lists
* Produce and distribute correspondence memos, letters, faxes and forms
* Assist in the preparation of regularly scheduled reports
* Develop and maintain a filing system
* Receive and reconcile invoices
* Responsible for working with invoices and interreacting with other departments and vendors
* Process 3-way P.O. matching invoices, expense (non-PO) invoices and debit/credit memos
* Prioritize weekly payment batches to take full advantage of terms and discounts
* Maintain good relationships with Buyers, Approvers and Vendors, responding timely to inquiries
* Reconcile vendor statements, research and correct discrepancies
* Assist in month-end closing
* Maintain files and documentation thoroughly and accurately, following company policy
* Responsible for the accurate maintenance and filing of all accounts payable documents
* Confidentially handle sensitive information (i.e. contracts, employee files)

* Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
* Administer and maintain office and kitchenette
* Perform any other task requested by the administration
*Requirements:*
* Excellent time management skills and ability to multi-task and prioritize work. Proven admin or assistant experience
* Attention to detail and problem-solving skills
* Excellent written and verbal communication skills
* Strong organizational and planning skills
* Proficient in MS Office
* Proven administration/assistant experience
* College degree in accounting, finance or relevant field
