JOB ACTIVITIES/MISSIONS
The Receptionist will be directly involved in welcoming all visitors to company offices, answer switchboard, direct calls and/or take messages. Stamp and process all outgoing correspondence, direct company messenger services. In addition, to support the reception and other areas, the Receptionist will be working to meet the department milestones by being:
Reception Area Activities
* Answer calls received and direct calls to the corresponding person at company offices in Millennium Park Plaza.
* Direct calls, take messages, and or try to supply information to callers while providing an excellent customer service experience.
* Receive visitors, keep visitor's log, and ensure all visitors have the corresponding badge visible.
* Receive and register all checks received for payment.
* Stamp all incoming and/or outgoing correspondence.
* Responsible for coordinating the pick-up and delivery service with UPS and/or other mail carriers, as requested.
* Responsible for distributing and/or sorting all incoming correspondence to the corresponding departments.
* Responsible for arranging messenger service, to send and/or receive documents to and from other company locations and other messenger services.
* Process purchase requisitions in SAP received from various departments.
* Support Administrative Assistants from various departments as needed.
* General Trades and Specialties Department Activities
* Responsible for sending and receiving legal correspondence, and make sure its correctly delivered and filed.
* File documents in the customer's files.
* Manage the correct digital filing of all contracts transferred by team, and make sure the correct people are constantly identified in Contract Pod as e-mail alert receivers.
* Active participation in contract committees with the GT & SPE teams
* Assist the team (including fleet card) on general bid administrative matters (document & signature collection etc.)
* Provide follow up to accounts payable for suppliers payments status, and specific action for government accounts needing special follow-up
* Coordinate activities for the General Trades and Specialties Department, as requested by the director.
* Responsible for all travel and hotel reservations for the General Trades & Specialties Department.
Human Resources Department Activities
* Support the Human Resources Department with the coordination of the department's activities.
* Support the Human Resources Department with any other assigned tasks to assist the department's operation.
EXTERNAL CANDIDATE PROFILE
* Associate degree in related field required. Bachelor's Degree in related field, preferred.
* Previous reception experience required.
* Good computer skills (MS Office, e-mailing, etc.). SAP experience preferred.
* Must be responsible, possess the ability to multitask, provide solutions, excellent organizational skills
* Bilingual, English, and Spanish (both written and spoken).
* Excellent people skills.
