GENERAL DESCRIPTION
Responsible for assisting and providing administrative support to the filling room, overseeing operational processes following guidelines, policies, and procedures established by Medical Card System, Inc.
ESSENTIAL FUNCTIONS
* Assists in the administration of the daily operations.
* Generates, manages, and archives confidential documents in employee files, as requested.
* Responsible for coordinating and supporting the processes of organization, records, and description of the documents that are part of the archive.
* Oversee those organizational activities that are conducted following the processes established by the department, i.e., evaluate documentation, determine how they should be filed, and file them following guidelines based on alphabetical, chronological, or numerical order.
* Identify documents, ensure they provide the correct information, and create copies for delivery to authorized recipients upon request.
* Ensures that service expectations are exceeded, and needs are channeled to the appropriate areas for prompt attention.
* Support interdepartmental projects and initiatives, promoting and facilitating archiving processes from a service perspective.
* Inspect, dispose of, and destroy obsolete files following legal and company guidelines.
* Works with other employees and internal customers to answer archival-related questions or direct them to a person or resource who will answer their inquiries.
* Design or modify filing systems and implement innovative ideas to streamline the production process and ensure records are easy to locate and maintain.
* Assists in the Reception of the Department area when required.
* Complies fully and consistently with the company's standards, policies, procedures, and local and federal laws applicable to our industry, business, and employment practices.
* May perform other duties and responsibilities as assigned by the education and experience requirements contained herein.
MINIMUM QUALIFICATIONS
Education and Experience: Associate degree. Minimum three (3) years of experience performing administrative tasks in a similar position, preferable in a Human Resources department.
