Job Description Summary: Under the supervision of the Logistics Manager, deliver timely, effective and accountable logistics support to Save the Children field team in any of the following functions: coordinating effective procurement and supply management, and communicating with suppliers; dispatch of goods to field locations and warehouse tracking; asset and inventory tracking; fleet tracking and planning. What You’ll Be Doing (Essential Duties) As Logistics Coordinator you may be placed in any of the following roles Procurement: Supporting procurement activities - including maintenance and management of services and works contracts Ensuring that programme purchases are made in a timely and transparent manner, that Save the Children (SC) procurement policies and procedures are followed at the optimal quality/price, and that all procurement procedures are properly implemented; Implementing effective procurement management and administration systems, thoroughly monitoring stock levels, market capacity and advising on appropriate replenishment to meet project demands timely Developing working relations with suppliers and ensuring SC are getting value for money in all transactions Maintaining a supplier database Ensuring suppliers deliver on their commitments Support with preparation of monthly ‘Procurement Report’ and keeping an up-to-date procurement tracker Ensuring routine payments are made in a timely manner – i.e. leases, supplier payments, etc. Support in preparation of contracts for works, services and leases Setting up Framework Agreements for commonly procured items Ensuring physical filing of all procurement documents is up-to-date and easily accessible. Ensuring also that all signed procurement documents are scanned and filed in a clear and systematic manner Supply Chain: Working closely with the Country Office on the most efficient and appropriate procurement, ensuring it is cost effective, based on budget, markets, infrastructure and the need for timely delivery Warehousing: Ensuring the warehouse is organised with clear segregation of stock Maintaining accurate stock cards and bin cards Ensuring trucks are unloaded and dispatched in a timely manner, that waybills are completed fully and accurately and that return waybills are received Maintaining an organised and accessible physical and electron filing system of all warehousing paperwork Assist with the reception of goods in the warehouse, ensuring stock received is in line with what was ordered (quality and quantity) and preparing Goods Received Notes Maintaining accurate ‘supply trackers’ Managing daily laborers Clearly communicating with field team on dispatch of program stocks to their location Reporting discrepancies to the warehouse office and logistics coordinator Monthly or bi-monthly stock counts and reports Cleaning schedule is adhered to and proper security protocols are maintained (access to fire extinguishers, persons entering the warehouse is restricted, warehouse secured at all times) Fleet: Assist in weekly scheduling of vehicles and movement planning – including trucks Help maintain a daily up-date of vehicle movement board Ensure efficiencies in fleet use (i.e. identifying opportunities for shared movements) Assist with Driver scheduling Ensuring vehicles carry emergency stocks and conducting regular inventory checks on these items Tracking of fuel consumption for SC owned or SC fueled vehicles and reporting discrepancies Ensuring staff movement security protocols are adhered to – updates every two hours, satellite phones on board for field movements, vehicles are not travelling after 6.30 pm, drivers keeping to speed limits etc. Reporting any violations Clear and accessible filing of authorized weekly movement requests, maintenance records and vehicle log sheets Asset / Inventory: Help ensuring that standard SC asset and inventory management procedures are adhered to Assist in maintaining an accurate asset and inventory tracker and supporting field logistics teams to do the same Maintaining sign out sheets for commonly used assets Ensuring that all assets are accompanied by accountability forms and users are held accountable for the assets assigned to them Tagging of all inventory and assets Liaising with procurement on timely repair of assets and inventory items Required Qualifications A minimum of 2 years of experience with procurement, purchasing or warehousing required High school diploma or technical/ vocational degree Advanced level skills using Microsoft Excel Ability to write reports, business correspondence and procedure manuals Ability to define problems, collect data, establish facts and draw valid conclusions Ability to work independently and handle multiple projects Preferred Qualifications Capable of interacting effectively with all levels of personnel in a fast paced, just-in-time, delivery environment Knowledge of shipping, receiving or transportation preferred Ability to make sound decisions, multi-task and prioritize
