Job Summary: Provides administrative support to senior managers or other partners in the department. Composes and prepares documents, spreadsheets and presentations. Handles and confirms travel arrangements and processes travel expense reimbursements. Schedules meetings and conferences. organizes files and other administrative assignments as needed. May track or monitor expenses for the department tasks. Major Duties: 1.Provides executive level administrative support to regional executives, and senior managers. 2.Proactive calendar management/meeting/call scheduling for two senior managers. 3. Works effectively as a team member but also independently. 4. Expected to take initiative, and understand boundaries for authority - referring more complex problems to supervisors/experts. 5. Responsible for identifying and resolving problems within established guidelines. 6. Composes and creates documents, spreadsheets and/or presentations 7. Works on special projects, such as gathering, inputting and compiling information for reports and presentations required by managers. 8. Handles and confirms travel arrangements and processes travel expense reimbursements. 9. Develops agendas and schedules meetings, conferences. 10. Maintains and organizes paper and electronic files. Ensures confidentiality. 11. Will manages database files. 12. Will track or monitor expenses for the department. 13. Will greet or assist clients and/or vendors. Qualifications: Minimum of 7 or more years of experience as a senior administrative assistant or executive assistant experience to include working with senior executives preferred and completion of professional administrative support training preferably in financial services. Excellent communication, organizational and time management skills are required. Strong attention to details and must be able to handle multi-tasks. Must have excellent Microsoft Office, Excel and PowerPoint skills. Candidates must be bilingual in English and Spanish both orally and written.
