Current Opportunity Operations Manager Location: Bayamon, Puerto Rico, Department: Property Management - Malls Date Open: 4/30/2019 POSITION SUMMARY The Operations Manager is responsible for the operations of multiple shopping centers with an aim to maintain and enhance the value of the properties by minimizing costs and maximizing the centers profitability. ESSENTIAL JOB FUNCTIONS 1. Oversees and manages the day to day operations of shopping centers including all phases of maintenance for buildings, grounds and on-site equipment through the direct supervision of maintenance supervisors and outside contractors, ensuring that properties are maintained in accordance with company standards and maintenance agreements 2. Identifies property maintenance requirements, solicits and reviews bids from contractors and negotiates maintenance contracts 3. Develops and maintains common area maintenance (CAM) budget for assigned properties and operates within budget constraints. Reviews and approves CAM expense invoices for payment and obtains required approvals for larger expenditures. Prepares and monitors variance reports to identify reimbursable charges and recommends budget revisions 4. Assures the security and safety of assigned properties for tenants and shoppers through the direction and control of loss prevention measures. Inspects properties on a regular basis and notifies responsible parties of deficiencies or items requiring attention. Ensures corrective action is taken as necessary upon the advice of insurance carriers or inspectors to improve the safety features or programs of the centers. Ensures that incident reports and insurance claims are completed and submitted in a timely and accurate manner. Identifies opportunity for greater efficiency and improved loss prevention results; researches and recommends alternative actions as appropriate 5. Responds to tenant complaints and issues, and serves as liaison to tenants and the Regional General Manager and regional office regarding the administration of common area maintenance and the enforcement of landlord rules and regulations. Prepares documentation to tenants regarding tenant openings/closings as well as communications regarding administrative or other matters 6. Maintains operations staff by recruiting, selecting, orienting and training employees 7. Directs staff performance through coaching and counseling employees 8. Maintains a professional and technical knowledge by attending educational workshops, reviewing professional publications and establishing personal networks 9. Contributes to the achievement of established goals by coordinating with other departments, including tenant coordination, specialty leasing and leasing ADDITIONAL DUTIES AND RESPONSIBILITIES 1. Assumes additional responsibilities and performs special projects as needed or directed REQUIRED QUALIFICATIONS Education, Training and/or Experience Associate's degree in business or related field with three plus years of related supervisory experience preferably in a retail facilities management position, or equivalent combination of education and experience. Developed understanding of corporate standards for shopping centers with an ability to achieve those standards 3. Demonstrated leadership and management ability 4. Ability to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines 12. Ability to write reports, business correspondence 13. Ability to apply common sense understanding to carry out complex instructions furnished in written, oral, diagram form Certifications, Licenses, Registrations None PREFERRED QUALIFICATIONS Certified Property Manager (CPM) PHYSICAL DEMANDS Nature of work requires an ability to effectively communicate and exchange information, collect, compile and prepare work documents operating standard business office equipment. Ability to work at construction sites, ability to climb and maneuver on building roofs and uneven terrain. WORKING CONDITIONS Work performed in a general office environment. May require extended hours during peak periods. Availability for travel on a quarterly basis to properties and construction sites for on-site project monitoring and meeting attendance. Exposure to adverse weather conditions, loud noise and dust conditions at construction sites.
