Job Summary We are seeking a highly organized and detail-oriented Program Scheduler to manage the scheduling and coordination of program activities across projects.
The Program Scheduler will play a critical role in ensuring that project timelines, milestones, and deliverables are met while maintaining effective communication with project managers, stakeholders, and team members.
This person will be responsible for managing project schedules, coordinating site activities, and handling invoicing processes using the Procore platform.
This role requires strong organizational skills, attention to detail, and proficiency in Procore's tool.
Key Responsibilities: Develop, maintain , and update comprehensive project schedules for multiple projects within the program.
Work closely with project managers and teams to gather relevant information and input to ensure accurate scheduling.
Identify potential schedule conflicts, risks, and delays, and propose corrective actions to mitigate issues.
Monitor and track project progress, ensuring milestones and deliverables are achieved as per the schedule.
Prepare and distribute schedule reports to stakeholders, including project status updates, progress tracking, and any changes or delays.
Coordinate with internal and external teams to align project timelines and resources.
Review and assess project resource allocation and suggest adjustments as needed to optimize project timelines.
Support the preparation and facilitation of project meetings, including scheduling and tracking action items.
Implement and maintain scheduling tools, systems, and software to track progress and improve efficiency.
Assist in developing and managing project budgets related to time and resources.
Provide input and recommendations to the program management team for improving overall program scheduling processes.
Qualifications: Education: Bachelor's degree in Engineering , Business, Project Management, or a related field .
Experience: Minimum of 5 -10 years of experience in a scheduling or project management role, with experience in the construction or critical infrastructure.
Skills: Demonstrated experience in program or project scheduling, with a comprehensive understanding of scheduling tools such as Microsoft Project, Procore, or comparable software.
Solid grasp of project management methodologies, best practices, and the project lifecycle.
Exhibits strong organizational and time management skills, with a proven capability to simultaneously manage multiple projects and effectively prioritize competing demands.
Strong analytical and problem-solving skills, with a proactive approach to addressing scheduling challenges.
Excellent communication and interpersonal abilities, facilitating effective interaction with cross-functional teams and stakeholders.
Detail-oriented with a commitment to accuracy and the timely completion of tasks.
Capacity to work independently as well as collaboratively within a team environment.
Certifications: Required: Valid driver's license.
Preferred: Certified Construction Manager (CCM), Management Professional (PMP) .
Language : Proficiency in both English and Spanish is mandatory.
Working Conditions: Full-time position, with travel to project sites as required .
The position may involve working in office and field environments, with a focus on construction sites.
Ability to work on-site and in potentially challenging outdoor conditions during installation and construction phases.
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; make repetitive hand movement and fine coordination in the performance of daily duties; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.
