GENERAL DESCRIPTION:

Responsible for assisting and providing administrative support to the Recruitment Unit in managing operational processes
of the Recruitment Unit following guidelines, policies, and procedures established by Medical Card System, Inc.

ESSENTIAL FUNCTIONS:

• Maintain and update the Applicant Tracking System (ATS) to ensure data accuracy and ensuring that candidate information is up-to-date and organized in the system to streamline the hiring process.

• Validate professional licenses and manage regulatory exclusion lists and ensuring candidates meet all professional licensing requirements; while also verifying they are not listed on any exclusion or disqualification lists, ensuring compliance with regulations.

• Generate and track operational reports to monitoring key recruitment metrics (e.g., time-to-hire, cost-per-hire) and generating reports to help measure the effectiveness of the recruitment process.

• Coordinate and complete background checks for new hires for background checks are properly conducted to verify the candidate's qualifications and suitability for the role.

• Audit and organize confidential employee files and maintaining and organizing sensitive employee files to ensure compliance with privacy laws and company policies.

• Process recruitment-related invoices and maintain proper documentation and handling financial aspects of the recruitment process, such as processing invoices for job postings, agency fees, or background checks.

• Digitize and archive employee records and other recruitment documents and transitioning physical files to digital format, ensuring that all recruitment-related documents are stored properly for future reference.

• Provide administrative support in preparing employment orders and other clerical tasks and offering support in creating employment contracts, letters, and other recruitment-related documents, as well as performing clerical duties.

• Complies fully and consistently with the company's standards, policies, procedures, and local and federal laws applicable to our industry, business, and employment practices.

• May perform other duties and responsibilities as assigned in accordance with the education and experience requirements contained herein.

MINIMUM QUALIFICATIONS:

Education and Experience: Bachelor's Degree from an accredited institution, preferable in Business Administration or related areas. At least one (1) year years of experience working in performing administrative and program coordination tasks, preferably in a Human Resources department.

OR

Education and Experience: Sixty (60) college credits, equivalent to two (2) years of study or an Associate's Degree preferable in Business Administration or related areas. At least two (2) years of experience working in performing administrative and program coordination tasks, preferably in a Human Resources department.
