Provides administrative support to ensure efficient operation of the office. Supports senior management through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and deliver with a high quality and in a timely manner. Direct and lead the work of others. Experience and judgment to plan and accomplish goals is critical for the position. A wide degree of creativity is expected.

Essential Duties and Responsibilities 13;
:Organize and schedule meetings and appointments
:Handles sensitive information in a confidential manner
:Resolve administrative problems
:Answer and direct phone calls
:Creates presentations to internal and external stakeholders
:Handle multiples projects
:Negotiate general service contracts and monitor invoices of services
:Maintain supplies inventory by checking stock, anticipating needs, placing and expediting orders for supplies and verifying receipt of supplies
:Ensure proper operation of office equipment by completing preventive maintenance requirements, calling for repairs and evaluation new equipment and techniques
:Coordinate office procedures and access to facilities
:Serve as a liaison with Real Estate division to ascertain that facilities are well maintained, and necessary repairs are performed
:Mange the Chief Operating Officer calendar and coordinate appointments
:Prepares budget and track them accurately through the year
:Greets and assists visitors to the office
:Ensures that supplies and office resources required as part of the Business Continuity plan are always in place
:Supports managers and supervisors with employees absences and record keeping in ZAP
:Coordinates corporate activities
:Carry out general administrative duties such as filing, typing, copying, binding, scanning, among others

Bachelors degree

Experience 13;
At least three (3) years in administrative or assistant experience.

:Proficient in Microsoft Office; Word, Power Point and Outlook.
